The Lands Branch of the Ministry of Environment is seeking a master multitasker with excellent communication skills who is a highly organized, reliable and self-motivated individual to provide administrative support to the Branch, Managers and Directors. This is a term position for 9 months.
In this position, the primary responsibilities include but are not limited to:
- Provide support to branch staff by planning and coordinating meetings and logistics, calendar management, travel arrangements, catering and organizing conference calls;
- Accurately, concisely and in a timely manner create, format, edit and proofread a wide variety of documents including contracts, letters, referrals, briefing material, Cabinet documents, presentations and other items using correct grammar, spelling, punctuation and templates;
- Oversee and track the flow of information, documents and correspondence in and out of the branch;
- Accurate data entry in various computer applications such as Microsoft Office programs, MIDAS, BMO and CRM;
- Acquisition/disposal of office supplies, equipment and furniture;
- Provide administrative financial support for branch expenses using financial government management systems such as BMO, MIDAS, Markview;
- Provide backup support to the Executive Assistant;
- Accurately update and archive hard copy and electronic records in order to preserve, locate and retrieve information; and,
- Receive and distribute mail including managing the registered mail process.
The successful candidate will have strong computer skills and superior written and verbal communication skills. You will have strong problem-solving skills and the ability to independently organize, prioritize and accurately complete tasks taking into consideration changing priorities, tight deadlines and constant interruptions. You will be approachable and respectful while working in a fast-paced, team environment. You will be thorough, conscientious and attentive to detail to ensure quality of work.
Typically, the knowledge and experience required for this position would be obtained through the completion of a Business or Office Administration certificate combined with several years of relevant experience.
